Property Status

🏷️ Property Status Overview

Each property in Acquaint is assigned a Status to reflect its current stage in the sales or lettings process. These statuses help manage workflow, marketing, and reporting.


📌 Available Status Options

Status

Description

Valuation

Automatically assigned when a property is first added to Acquaint. Use this status to arrange a valuation appointment.

Instructed

Indicates that the vendor or landlord has instructed you to proceed with the sale or letting. Use this stage to prepare marketing materials before setting the property to Available.

Available

Set when the property is ready to be marketed and uploaded to portals (if using portal integration).

Under Offer

Automatically assigned when an offer is accepted.

Completed

Automatically assigned when a Completion Date is entered for a property marked as Under Offer (via the Property Offer or Progression screen).

Not Available

Use when you did not win the instruction or the property has been temporarily withdrawn from the market. A Disinstruction Reason field will appear.

Archived

Similar to Not Available, but used when you are no longer handling the property at all. Also prompts for a Disinstruction Reason.

Bank Valuation

Used specifically for mortgage or bank valuation purposes.

Note: While Archived and Not Available behave similarly, you can use them to distinguish between properties based on internal categorisation preferences.


🔄 Status Automation & Offer Integration

  • Property status is linked to offers:
    When an offer is accepted, the status automatically updates to Under Offer.
    When a Completion Date is entered, the status updates to Completed.


⚠️ Restrictions on Changing Completed Status

If you attempt to manually change the status of a Completed Sales Property, Acquaint will prompt:

"You are changing a Completed Sales Property to Available. Are you reselling this Property?"

  • Clicking Yes opens the Resell Property screen

  • Clicking No triggers a System Confirmation prompt

This safeguard ensures accurate tracking of resale activity and prevents unintentional status changes.
