Board Management

The Board Management screen enables you to manage all aspects of property board management including changing statuses quickly and ordering boards. For clients using Agency Express to manage Estate Agency boards, Acquaint also provides the option to integrate with their SignMaster software. For clients using CountryWide Signs Acquaint provides an option to integrate with their board management system.

 

Access the Property Board List screen via the Boards button on the Main Ribbon.

 

The Property Board List screen displays the following information.

  • ID

  • Address

  • Owner

  • Status

  • Board

  • Action Required

 

The screen can be filtered on Category, Branch and Board.

 

The following options are available from the Menu button alternatively right clicking will display the Menu options.

  • Edit - change a Property Board

  • New - add a Property Board

  • Report - send a Letter , Email or SMS Text to the Owners

  • Find - find text on the Property Board list

  • Viewing Mode - you can change the Viewing Mode from a List view to a Map View which will plot all the Properties on a Google Map.

  • Export Grid to Excel - export the data on screen to MS Excel.

  • Refresh - refreshes the data on screen


Adding your Board Supplier

Your Board Supplier should be added as Contact with a Type of Contractor. You may wish to create a special Type of Contractor - Boards to differentiate from other contractors but this is not essential for using the Board Management functionality. When you use the Board Management screen for the first time Acquaint will prompt you to specify which Contact to use as your board supplier.

 

Similarly, if you have a member of staff who deals with the boards you can set them up as a board supplier and they will get all the emails.


Add a Property Board

  1. On the Property Board List screen click New. Alternatively got to a Property and Details #3 and click drop down next to Board Erected.

  2. In the Property field specify which Property the Board is for. Alternatively got to a Property and Details #3.

  3. Select the Board Erected from the drop down list choosing from NoneFor Sale/To LetSold/Let or Not Allowed

  4. Click Save.


Changing a Board

From the Boards screen you can change the board by right clicking on the property in the list and selecting Edit. If the board changes a prompt will appear asking if the board supplier is to be emailed a Property Board Request. If a board company has not previously been set in Acquaint a prompt will be displayed to select the board company.

 

Changes to a Property Board are written to Property’s Journal.

Agency Express Integration

For clients using the integration with Agency Express

Add a Property Board

  1. On the Property Board List screen click New. Alternatively got to a Property and Details #3 and click drop down next to Board Erected.

  2. In the Property field specify which Property the Board is for.

  3. Select the Board Erected from the drop down which will be populated with all the relevant Board Types for the agent (e.g. standard, premium, for sale, to let, etc).

  4. Click Save.

 

When erecting new boards a Number of Boards field will be displayed.

 

When a Board Request has successfully been sent to Agency Express the details of the request will be stored as a Note against the Property with a type of 'Agency Express.' This provides an audit trail of what was submitted when and can be used in reports.


Changing a Board

From the Boards screen you can change the board by double clicking on the Property in the list and changing the board against the Board Erected field.

 

Make the necessary changes and click Save.

 

Additionally right-clicking on a Property on the Board List gives an Agency Express menu with the options of Erect Board, Re-Erect Board and Service Board. The Re-Erect Board and Service Board options will only be enabled if the Property has previously sent to Agency Express.

 

A tickbox to send to Agency Express is available from the Property Board List screen as you may just want to change the Board and not send the request to Agency Express.

 

  • The Count of properties is calculated based on the Filter options selected.

  • Next to the filters Grid and Map view icons enable you to toggle between List View and Map View

Countrywide Signs Integration

For clients using the integration with Countrywide Signs

  1. On the Property Board List screen select the Property and click Menu (or right-click)

  2. Choose Countrywide Signs and Add Job .

  3. The Property field will be pre-filled.

  4. In the Job Type field select the action

  5. Optionally use the Notes field to add any additional information.

  6. The Send To Countrywide Signs will be ticked/selected

  7. Click Save.

 

A new board can be added from the Property Board List screen by simply right-clicking and choose New.


Changing a Board

From the Boards screen you can change the board by right clicking on the Property in the list and selecting Countrywide Signs and Add Job. Follow the steps above.


Removing a Board

  1. From the Boards screen you can change the board by right clicking on the Property in the list and selecting Countrywide Signs and Collect Board.

  2. Optionally use the Notes field to add any additional information.

  3. Click Save.

 

Changes to a Property Board are written to Property’s Journal.
