Property Licence

🏢 Property Licensing Overview

Property licensing requirements apply only to certain local councils, where landlords and property managing agents must obtain a licence before letting a property. Licensing rules vary by authority:

  • Some councils require a licence per property

  • Others require a licence per landlord

For landlord-specific licensing, refer to Landlord Registration.


🔐 Accessing Property Licences

Licences can be managed directly from a Property record:

  • Click the Certificate icon on the ribbon menu to view or add licence details.

A Home Page reminder will alert you to licences that are due or require renewal.
You can configure the reminder period (in days) within the Property Licence Certificate settings.


📝 Entering Property Licence Details

To add a new Property Licence:

  1. Open the relevant Property record

  2. Click the Certificate icon

  3. Select New to create a new Licence Certificate

  4. The Owner and Property fields will be auto-filled

  5. Choose the Issuer — this is the Local Authority where the property is registered

  6. Enter the Reference number

  7. Specify the Start Date and End Date of the licence

    • Most registrations are valid for 3 years

  8. Add any relevant Notes

  9. Use the available correspondence options to send a:

    • Letter

    • Note

    • Task

    • SMS Text

    • Email

  10. Click Save to complete the entry

⚠️ When adding a certificate, the system automatically checks for existing active certificates of the same type for the property or contact. If one is found, a warning message will be displayed.
