Applicant Matching

There three ways to perform matching

  1. Match a Contact's record to Properties

  2. Match a Property record to Contacts

  3. Match & Market - this bulk matches and sends property details to Contacts via email and post

 

The following fields are taken into consideration when matching Contacts and Properties:

  • Category ( for sale / to rent )

  • Status ( available / under offer are only included by default, but instructed and valuations and be set to be included as well, and under offer can be excluded )

  • Price

  • Bedrooms

  • Property Type ( flat, detached, terrace etc )

  • Property Area

  • Garden

  • Land

  • Disabled Access

  • Retirement

  • Development Potential

  • Parking

  • Riverside

  • Seaside

  • Leisure Facilities

  • Required Updating

  • Furnished ( rentals only )

  • Benefits ( rentals only )

  • Property Tenure ( sales only - freehold / leasehold etc )

  • Property Usage ( residential / commercial )

  • Floor Area

  • Land Area

  • Flat Floor ( Ground Floor, First Floor etc )

  • Age ( modern, new build, period )

  • Pets ( rentals only )

  • Students ( rentals only)

  • Children

 

  • Feedback Response - property excluded if set as Not Interested on the Details Sent tab. check this by finding the Property and click Sent/Offers and check the Response against the Contact.

 1. Match a Contact to Properties

  1. From a Contact record click Match Properties icon in Correspond group of the ribbon menu. This will match all Properties for the current Contact based on their Property Requirements.

  2. Select the delivery method from the following:

  1. Optionally select to Include Valuations and Include Instructed Properties. This option is not available for Property Bulletin (email)

  2. Select from the following match options:

  • Automatically match Properties Based on Contacts' Requirements - will perform a match based on the Contact’s requirements.

  • Manually select Properties - will display a list of available properties, ticking on by default those that match the Contact’s requirements. Use this option is you want to create a custom selection of Properties to send to the Applicant or simply send a single Property.

    • All properties can be selected / unselected by clicking Menu -> Filter Rows -> Select All or Unselect All

    • Filter options are available to further customise the selection

 

Optionally, if you can also send a single Property to a Applicant . Find the Applicant click Email select Property Details Email Template and at the Property Related field click the drop-down arrow and select the Property ID or Development Related if it's a Development you are sending them details on. Click Send to send the email.

Match Properties to Contacts

From the Properties screen select the Match Properties icon in Correspond group of the ribbon menu. This will select all Contacts that may be interested in the current Property based on their Property Requirements.

 

Various delivery methods are available:

  • Browse On Screen - Applicant List

  • Browse On Screen - Contact Form

  • Email

  • SMS Text

  • Letter

  • Address Label

  • Potential Buyers Report

  • Contact List Report

Sort By - provides the option to sort the Contacts by Registered Date or Maximum price.

Sort Order - sort the Contacts by ascending or descending order.

Branch - provides the option to match against specific Branches.

General Options - exclude Contacts if they have previously been Contact regarding the Property, optionally select from specific methods.

Advanced - only Match against Contacts with specific Type, Status and Buying Position. The Only include Contacts assigned to me enables you to only filter against Contacts you have been assigned to.

Click Match to perform the match

3. Match & Market in bulk

Use Match & Market which is accessed via Main tab -> Match & Market. Help on this can be found here.

  • When matching on Price a percentage variance is applied (defaulted to 10%) e.g. an Applicant with a maximum Price range of £100,000 will be matched on Properties up to £110,000. The percentage variance can be changed via the Property Price Match Variance option in System Configuration

  • By default only Properties with a Status of Available are matched. However the Match Properties Under Offer option in System Configuration can be set to include those with a Status of Under Offer

  • When sending Property Bulletin Emails each Applicants' Property Requirements are automatically taken into account and only relevant Properties are selected.
