Progression - Property Chain

đź”— Property Chain Overview

The Property Chain feature in Acquaint provides a graphical representation of the sales chain a property is part of. Each property in the chain is displayed as a box in a flowchart, showing its position and relationship to other properties.


📦 What Each Chain Item Displays

  • Client’s Name

  • Property Address (or client’s address if no property is linked)

  • Estate Agent Details (if entered and not linked to a property)


🎨 Colour Coding of Chain Items

  • đźź© Green – Active item (no exchange or completion date reached)

  • 🟨 Amber – Exchange date reached

  • 🟥 Red – Completion date reached

  • ⬜ Grey – Inactive item (e.g. rejected offer)


đź§  How Acquaint Builds Property Chains

When loading a property with a status of Under Offer or Completed, Acquaint checks if it belongs to an existing chain:

  • If found in one chain: it loads automatically

  • If found in multiple chains: you’ll be prompted to choose

  • If not found: a new chain is created


🔄 Chain Construction Process

  1. Create a chain item for the current property

  2. Build forwards from the current item (based on accepted offers by the contact)

  3. Build backwards from the current item (based on the purchaser’s property and offers)

⚠️ If a contact owns multiple properties for sale, the chain-building process stops to avoid ambiguity. You’ll need to manually specify the purchaser.


âž• Managing Chain Items

Adding a New Chain Item

  • Click New in the Property Chain screen

  • Specify a contact (via Acquaint Contact or manually enter name)

  • An address is required (use “Unknown” if not available)

Linking Chain Items

  • In Edit Mode, drag to draw links between items

  • To delete a link: click it and press Delete or use the Delete button

đź”’ Links tied to offers in Acquaint cannot be deleted

Editing a Chain Item

  • Select the item and click Edit

  • If linked to an offer, details will sync automatically

✳️ Editing is only enabled if:

  • The property is for sale

  • It’s linked to a chain

  • The user has Properties > Edit permission

Deleting a Chain Item

  • Select the item and click Delete

  • Items linked to offers are marked Inactive, not removed

  • To restore: enable Show Inactive Items, select the item, and untick Inactive

🛑 Deletion is only allowed if:

  • The property is for sale

  • It’s linked to a chain

  • It’s not linked to an offer

  • The user has Properties > Delete permission


❌ Offer Rejections & Deletions

  • Rejecting/Withdrawing an Offer:

    • Automatically marks the linked chain item as Inactive (grey)

  • Deleting an Offer:

    • Removes the linked chain item and unlinks it from the chain


đź“‹ Menu Options

Available via the Menu button:

  • Print Property Chain – Opens a print preview

  • Save as Image – Saves the chain as a .png file

  • Property Chain Report – Generates a report version of the chain

  • Reset Property Chain – Allows creation or refresh of a chain


🔄 Resetting the Property Chain

Click the Reset button (bottom left of the screen) to:

  • Create a new chain – Useful when a previously sold property is re-marketed with a new accepted offer

  • Refresh an existing chain – Choose which chain to display if the property appears in multiple chains

Refreshing also updates the graphical diagram.


📝 Viewing Progression Notes

Click View Notes to open a window showing all Progression-type Notes or Tasks for each property in the chain.

  • You can add, edit, or delete notes/tasks

  • Requires appropriate Correspondence User permissions

  • Only notes/tasks added after the accepted offer date are shown


🔍 Display & Configuration Options

Zoom Level

  • Adjust the chain display using the Zoom Level slider

Inactive Chain Items

  • Toggle visibility of rejected offers via: File → Configuration → Site/Branch → System Configuration → Property Management

  • Use the Show Inactive Items checkbox (bottom right) to display or hide inactive items

  • Items not linked to offers can be manually marked as inactive via the Edit screen
