Web Site Integration

🌐 Integrating Acquaint with Third-Party Websites

If your website is designed by a third-party provider, Acquaint can still link property-related emails (e.g. Property Bulletin Emails) directly to your site using the Custom Property URL setting in System Configuration.


🔗 Setting Up Custom Property URLs

To enable this feature, configure the URL using one of the following parameters:

  • Property ID: https://www.mywebsite.co.uk?ID=[PROPERTYID]

  • Property Alt Reference: https://www.mywebsite.co.uk/property/[PROPERTYALTREF]

💡 Please consult your web developer before implementing this feature to ensure compatibility.


📥 Website Appointment Requests & Registrations

Acquaint websites automatically import:

  • Contact Requests

  • Property Viewing Requests

  • Valuation Requests

  • Landlord, Tenant, and Vendor Registrations

These are pulled from your responsive Acquaint website and processed every 30 minutes.

📧 If you've disabled automatic Outlook email processing, you’ll need to manually run Process Outlook Emails via the Main tab to import portal emails (e.g. Rightmove, Zoopla).


📅 Viewing & Valuation Request Handling

Acquaint processes requests based on the time slot selected:

For Contact Requests:

  • Creates a Contact record (if one doesn’t exist for the email address)

  • Adds a Task with type:

    • Website Contact Request

    • Website Property Enquiry (if linked to a property)


For Property Viewing Requests:

  • Creates a Contact record

  • If a specific date/time is selected:

    • Adds an unconfirmed Appointment to the Diary (Type: Viewing from Website)

  • If “Any Day” / “Any Time” is selected:

    • Adds a Task (Type: Website Property Enquiry)


For Property Valuation Requests:

  • Creates a Contact record

  • Creates a Property record

  • If a specific date/time is selected:

    • Adds an unconfirmed Appointment to the Diary (Type: Valuation from Website)

  • If “Any Day” / “Any Time” is selected:

    • Adds a Task (Type: Website Property Valuation)

📩 All registrations are also emailed to your office.


🔔 Alerts & Reminders

Home Page Reminders:

  • Unconfirmed Website Appointments appear as reminders

  • Right-click an appointment to View on Diary or use the button beside the appointment type

Toast Alerts:

  • Website – Appointments: Notifies agents of new appointment requests

  • Website – Registrations: Alerts for outstanding tasks related to:

    • Website Property Valuation

    • Website Property Enquiry

    • Website Contact Request

Clicking the toast alert opens the relevant Contact record.

🔄 Accessing Cleared Reminders

If you clear a reminder without taking action, you can still access the records via:

  • Home Page → Contacts tab → Registration Tasks Outstanding

🏢 Multi-Branch Setup

If your agency operates across multiple branches:

  • The Branch filter on the Home Page determines which registrations and appointments are displayed

  • You must be logged into the correct branch to download and view relevant website data

  • Alerts and records shown are based on the selected branch filter


⚙️ System Configuration Options

If you prefer not to create tasks for applicant registrations, you can disable this via:

  • System Configuration → Create Tasks For Applicant Registrations

🔒 Note: Tasks for Landlord and Vendor registrations cannot be disabled.
