🏁 Tenancy Check-Out with Custodial Scheme Deposits
The Tenancy Check-Out screen helps you manage the end of a tenancy, including deposit handling when funds are held by a Custodial Scheme.
🔓 Accessing the Check-Out Screen
You can begin the check-out process in any of the following ways:

From the Tenancies List screen

By selecting Tenancies via the Contacts or Properties screen, then choosing Check Out from the Menu button

Or by right-clicking on the tenancy record and selecting Check Out
🧾 Performing the Check-Out
Once the Check-Out screen is displayed.
You will need to double check the details are correct on the screen regarding

Property
-
Tenant
-
Start Date
-
Tenancy End Date
-
Check Out performed
-
Tenant Deposit Held
-
Tenant Unallocated Credit
-
Rent Due/Arrears
-
Custodial Scheme Deposits
-
This option only appears for tenancies where Deposit Held By is set to Custodial Scheme

If you are not requesting funds from the scheme, proceed with the standard check-out steps:

Enter meter readings (gas, electricity, water)

Add a forwarding address for the tenant

Requesting Deductions
-
If you need to request funds for unpaid rent, cleaning, or other charges:

Select Yes when prompted

Add the relevant deduction details
-
Check-Out Fee
-
You’ll be prompted to apply a Check-Out Fee

If applicable, this will create a debit on the tenant’s account
Finalise the Check-Out

Complete all steps and click Save
Performing this function will help you manage the requests you place with the Custodial Scheme. You will get a Homepage Reminder in your Financial Reminders.
Following placing the request in Acquaint you will then need to contact the Custodial Scheme to place the actual request.
📌 Managing Custodial Scheme Requests

Performing the check-out will generate a Homepage Reminder under Financial Reminders for the Outstanding Custodial Scheme Deposit Request

After placing the request in Acquaint, you must contact the Custodial Scheme directly to initiate the actual release of funds
💳 Processing Received Funds
Once the Custodial Scheme has released the funds:

The scheme will send the tenant’s portion directly to them, so this does not need to be recorded in Acquaint

Acquaint will credit the landlord and/or tenant’s account with the retained amount

You can then return the funds, or apply them against a fee or Work Order
-
To clear the reminder:

Click on the Outstanding Custodial Scheme Deposit Request reminder

Tick the Include checkbox
-
Click Run to remove it from the Home Page
