Offers

🏡 Offers Made Tab Overview

The Offers Made tab displays a grid of all offers submitted for a specific property. For each offer, the following details are shown:

  • Offer Date

  • Amount

  • Contact

  • Status


➕ Adding a New Offer

To add an offer:

  1. Locate the relevant Property or Contact, then click Sent/Offers.

  2. Click the Menu button and select New.

  3. In the Contact Offering field, select the contact making the offer.

  4. Enter the offer amount in the Amount Offered field.

  5. Use the Date field to record the offer date.

  6. Add any relevant notes in the Notes field.

    • Use the Date Stamp field to append updates to the notes.

  7. The Status will default to Pending.

  8. Click Save.

After saving, a prompt will appear:
"Would you like to send this offer to the relevant parties?"

  • Click Yes to open the Send Property Offer screen, where the offer can be sent via Email or SMS Text to the Vendor/Purchaser.

  • Click No to skip sending; offers can be sent later via Menu → Send Offer To Related Contacts.


📤 Sending Property Offers

  • The Send Property Offer screen uses templates defined in:
    File → Configuration → Site/Branch → Property Offer Templates

  • Templates are selected automatically based on the status of the offer.

  • Templates are fully editable to suit your communication style.


✅ Accepting or Declining an Offer

To accept or decline an offer:

  1. Go to the relevant Property/Contact and click Sent/Offers.

  2. Click Menu → New and enter the offer details as outlined above.

  3. Click Save.

Note: When an offer is marked as Accepted:

  • All other Accepted offers are changed to Rejected.

  • All Pending offers are changed to Withdrawn.

  • The property status is automatically updated to Under Offer.


📂 Additional Offer Information Tabs

Displays all offers linked to the selected contact and property.

📈 Progression

For sales properties, progression details can be stored when an offer is made.
Once accepted, these details are automatically transferred to the Progression screen to avoid duplication.

⚙️ System Info

Tracks system-level metadata for each offer:

  • ID: Unique system-generated identifier

  • Added By: User who created the offer

  • Date Updated: Timestamp of last modification

  • Status Changed: Timestamp of last status update


🧰 Offers Made Menu Options

Available via the Menu button or by right-clicking:

  • New: Add a new offer

  • Edit: Modify the selected offer

  • Delete: Remove the selected offer

  • Reports: Generate a Contact List or Contact Export

  • Letters, Emails, SMS Text: Send communications to the selected contact

  • Find: Search for text within the screen

  • Export Grid to Excel: Export data to a Microsoft Excel worksheet

  • Refresh: Reload the latest property information

  • Filter Rows: Enable/disable row filtering for multi-contact selection

    • Options: Select All, Unselect All


💡 Tips & Notes

  • Offers are displayed and managed from the Property Offers screen.

  • Use keystroke shortcuts when entering amounts:

    • Type "100K" → auto-formats to "£100,000"

    • Type "1M" → auto-formats to "£1,000,000"

  • Offers made by a contact (Accepted or Pending) are visible on the Contact screen, with the most recent offer listed first.
