Notes

Notes are displayed in chronological order on the Correspondence tab. They can be added against a specific Contact or Property.

 

Each Note is treated as a separate item and can store the following information:

  • Contact

  • Property - optional

  • Subject - a brief description

  • Body - unlimited free format text

  • Date Added

  • Date Updated

  • Owner

  • Type - used to group Notes together for reporting purposes. Some Types will update the Last Checked Date.

Always Show at Top (of Correspondence screen) - this sets the note to display at the top of the Correspondence screen . This is useful when a Contact has a large number of Correspondence and a specific Note containing important information needs to be highlighted

Desktop Alert - when ticked, a Desktop Alert pop-up will appear with the details on the Note when the Contact or Property is found.

When selected another option will appear which is Show Desktop Alert on Properties >If this option is selected when loading a Property any Notes or Tasks stored against the owner of the Property with the 'Show Desktop Alert On Properties' ticked on will be displayed. For example use this option if you wanted a Desktop Alert to appear against a Landlord that will appear against all their Properties.

When Adding / Editing a Note :

  • The Date Stamp button will insert the current date/time and current Users details into the Body of a Note. This is useful when adding to a Note, e.g. following on a conversation.

  • Task/Note Templates can be created to expedite frequently written Notes.

  • Adding a Note will update the Contact's Last Contacted Date if this has been selected in the Note Type Configuration
