🗒️ Notes in Acquaint CRM
Notes provide a flexible way to record and track important information against individual Contacts or Properties. All Notes are displayed in chronological order within the Correspondence tab.
📋 What a Note Can Contain
Each Note is treated as a standalone item and can include the following details:
Field | Description |
Contact | The associated Contact |
Property (optional) | The related Property, if applicable |
Subject | A brief summary or title |
Body | Unlimited free-format text for detailed notes |
Date Added / Updated | Automatically tracked timestamps |
Owner | The user who created or last updated the Note |
Type | Used to group Notes for reporting; some types update the Last Checked Date |
📌 Display & Alert Options
Always Show at Top Ensures the Note appears at the top of the Correspondence tab—ideal for highlighting critical information when a Contact has many entries
Desktop Alert When enabled, a pop-up alert will display the Note’s content when the associated Contact or Property is accessed
Show Desktop Alert on Properties If selected, any Notes or Tasks linked to the owner of a Property will trigger alerts when the Property is opened

When Adding / Editing a Note :
The Date Stamp button will insert the current date/time and current Users details into the Body of a Note. This is useful when adding to a Note, e.g. following on a conversation.
Task/Note Templates can be created to expedite frequently written Notes.
Adding a Note will update the Contact's Last Contacted Date if this has been selected in the Note Type Configuration
