Work Orders Request Quotes

Obtain quotes for work via email from multiple Contractors using a Work Order.

 

  1. Add a new Work Order but leave the Contractor field empty.

  2. When you click Save or Save & Close a message will prompt 'Would you like to send Quotation Requests for this Work Order?' Click Yes.

  3. A Request Quotations screen will appear click Add Contractor to add the Contractors.

  4. Optionally Preview Before Sending and click Send. A .PDF copy of the Work Order Quotation Request report is sent to each Contractor selected. These emails will be stored against the Correspondence of the Work order. Additionally, a PDF copy of the report will be stored against the Correspondence of the Property and Work Order. This will be available in the Documents section of the Client Login for the landlord.

These quotes can be managed via the Unassigned Work Orders Home Page Reminder.

  • The Print Work OrderSend Work Order and Bill Received menu options will be disabled when requesting quotations as no Contractor has been set.

  • The Request Quotations button is when editing an existing work order, and only if the User has the Work Order → Print user permission

 

Example

  • A Tenant has reported that the garage roof is leaking and the landlord has requested three estimates are obtained for maintenance faults. In this instance you would raise a Work Orders and Request Quotations.

  • From the Property click the Work Order icon.

  • Right-click and click New.

  • Leave the Contractor field empty.

  • The Property details are automatically pre-filled.

  • Enter the Subject and Details of the Work Order.

  • In the Status field optionally select Estimate.

  • Add a reference in the Reference field for your records and click Save.

  • A prompt will ask 'Would you like to send Quotation Requests for this Work Order?' click Yes.

  • Add the Contractors, optionally preview before sending and click Send.
