Google Apps Calendar Synchronisation

Acquaint can synchronise it's own Diary with your personal diary in Google Calendar, this can then sync with the Calendar on your Android phone or iPhone.

The synchronisation occurs automatically when enabled.

You will need a Google Account.

 To activate the synchronisation find your User record and edit User Settings. Set Sync Diary to Google Calendar and click Authenticate and you should be presented with the following screens.

Click Authenticate

Login in with your Google credentials.

The synchronisation occurs approximatively every 5 minutes.

 

The Synch Diary Level setting against a User enables you to choose from seeing Just My Appointments or Everyone’s Appointments.

By default only Diary entries for the next seven days will be synched, this period can be modified in File β†’ Configuration β†’ Site/Branch β†’ Appointments β†’ Diary Sync Period (days)

 

Importing Appointments from Google Calendar

The sync with Google Calendar is a two-way sync. Acquaint imports Appointments created in Google Calendar since the last Diary sync run date. Appointments imported this way are set to an Appointment Type of Calendar Appointment and left as unconfirmed. The Title and Description of the Appointment in Google Calendar will appear in the notes of the Appointment in Acquaint.

 

For an appointment to be imported from Google Calendar to Acquaint add one of the following tags in the title or description/body. The tags aren't case sensitive.

Once a Google Calendar appointment has been imported, if the date/time of an appointment is changed in Google Calendar it will be sync'd into Acquaint.

 

  • Any changes or additions to the title or description of an appointment in Google Calendar will not be sync'd into Acquaint.

  • By default the 'Suppress Contact Checking' option will be switched on for the Google Calendar Appointment type, therefore the appointment should still be imported even if the user is in another appointment.

When the Diary is not set to Display By User different options are available for displaying appointment text. By default it will be set to 'Users, Attendees, Properties' but can be changed to 'Users, Properties, Attendees' in System Configuration β†’ Site/Branch β†’ Appointments β†’ Diary Summary Display Order.

If an error occurs in Google when authenticating such as the error displayed in the image below, the Authentication will have still completed.

If you want to confirm this:

  1. Go to the master data folder e.g. ?\Master_Data\Acquaint\Users\User-??? . Replace ? which your drive letter and ??? with your User ID number.

  2. and a TokenResponse-User file should appear.

 

Time Zones

For UK users, make sure you have selected your correct time zone in your google settings otherwise this can potentially cause issues when the clocks change in the UK. This setting relates to each User's calendar.
